Data hall cleaning: every scope we quote

Each scope below is a separate line on a quote, with its own written procedure, its own acceptance criteria and its own quoted work window. Nothing is bundled into an unnamed “deep clean”.

If the hall is still being built

Three pages carry the construction side, because it is the work that decides when racks can go into a room. Each one answers a different question.

Scope

The surface scopes

On a construction program these are sequenced into the five phases. On an operating hall you buy them one at a time. Open any of them for the full task list and the acceptance criteria the finished work has to meet.

Raised floor and slab floor cleaning

Surface level only. Buy this scope when dust is showing on the tile field, when a rack roll-in has left scuff and tire marks, or when the floor has never had a documented baseline clean.

How it is done

  • Wet floor signs go up at the entrances to the work area before any mopping starts, and stay up until the floor is fully dry.
  • The floor is never swept. Sweeping puts settled dust straight back into the air. Loose debris comes up with a HEPA vacuum.
  • Raised floor tiles are mopped with a lightly damp anti-static microfiber mop, never oversaturated, so moisture cannot get into the tile seams.
  • Perforated airflow tiles are vacuumed gently and are not mopped unless the client approves it.
  • Corners and edges are done by hand with a cloth or hand mop rather than left for the machine.
  • Slab floors take a walk-behind scrubber with a neutral pH cleaner where you approve one, in straight overlapping passes. Where you do not, they take a dust-capturing microfiber mop.
  • Water is never pushed toward electrical areas, under or inside racks, or into floor openings. Cables and equipment near floor level are not disturbed.
  • The finished area is checked under normal lighting, and where needed with a flashlight held at a low angle to show up streaks and leftover dust.

Acceptance criteria

  • Floor is clean and free of visible dust and debris.
  • No streaks, smears or wet spots remain.
  • No moisture has entered raised floor seams or electrical areas.
  • Edges and corners match the cleanliness of the main walking surface.

The boundary on this scope

This SOP covers the surface only. It does not include lifting raised floor tiles or cleaning the subfloor. That is a separate scope with a separate method and a separate price. See subfloor plenum cleaning below.

Subfloor plenum cleaning

Below the tile line. This is what people mean by “under-floor cleaning”, “plenum decontamination” or “tile pulls”. It is not in a routine floor care bid and we quote it separately. It is slower, it is more invasive, and it needs the hall’s agreement on how many tiles may be open at once.

  • The plenum floor beneath the raised floor grid
  • Pedestals (the vertical supports carrying the tiles): HEPA vacuumed and wiped with microfiber while tiles are lifted
  • Stringers and grid rails, the metal rails connecting the pedestals
  • Tile undersides, wiped with lint-free anti-static cloths
  • Cable pass-through grommets, top surface

  1. Tile tops: in scope, surface only. Solid tiles are HEPA vacuumed, then mopped with a dust-capturing anti-static microfiber mop — lightly damp, never oversaturated, so moisture cannot enter the tile seams.
  2. Perforated airflow tiles: in scope. Vacuumed gently.
  3. Cable grommets: in scope, top surface only.
  4. Open tile position: subfloor scope. Tiles are lifted in a staged sequence rather than opened in bulk, so the floor field stays structurally sound and hall airflow is not lost. Tile undersides are wiped with lint-free anti-static cloths while the tile is out.
  5. Stringers and grid rails: subfloor scope. The metal rails connecting the pedestals. Cleaned when tiles are lifted.
  6. Pedestals: subfloor scope. The vertical supports carrying the tiles. HEPA vacuumed and wiped with microfiber while tiles are lifted.
  7. Plenum floor: subfloor scope. The structural slab beneath the raised floor grid.

How it is done

  • Tiles are lifted in a staged sequence rather than opened in bulk, so the floor field stays structurally sound and the hall does not lose airflow. On a construction program this runs as a nightly percentage of the tile field.
  • Exposed surfaces get HEPA vacuumed first, then wiped with lint-free anti-static cloths.
  • Tiles are replaced and re-seated before the crew moves to the next section.
  • Cones, tape and tile pullers are standard equipment on this scope; open tile positions are marked for the duration.

How to specify it

If you want under-floor work, name it in the SOW or the quote. A bid that says “raised floor cleaning” and nothing else means the tile tops, not the plenum.

Overhead and cable tray cleaning

Cable tray, ladder rack, Unistrut and the supporting steel above the aisle. This is where a dust audit usually fails first. It is the hardest surface in the hall to reach and the easiest one to leave out of a janitorial contract.

  • Wipe ladder tray supports and strut
  • Clean tray brackets
  • Dust drop points and verticals
  • Unistrut top surfaces and the inside corners where dust settles

How it is done

  • Before anything starts, we check that nobody is working underneath the area.
  • Ladders are set on a flat surface, fully opened and locked, with three points of contact throughout. Our crews move the ladder rather than overreach.
  • Heavy or thick debris gets HEPA vacuumed first, worked carefully around cabling and electrical equipment.
  • Cleaner is applied to the cloth, never sprayed onto the surface and never sprayed above equipment.
  • Wiping starts at the highest point we can safely reach and works down, in smooth overlapping strokes, consistently left-to-right or front-to-back.
  • Cloths are flipped or replaced every three to six feet of wiping, or sooner if they load up.
  • Each section gets checked with an LED flashlight held at an angle, and re-wiped where dust still shows.

Acceptance criteria

  • All overhead surfaces are free of visible dust when inspected.
  • No streaks, smears or wet spots are left on cleaned surfaces.
  • No equipment or structure is damaged during cleaning.
  • Any scratches, coating damage or loose hardware we find gets reported to you immediately.

Hot and cold aisle containment cleaning

Panels, doors and framing. This is the scope most often damaged by the wrong cleaner. Acrylic scratches, hazes and holds a static charge, and a scratched aisle panel is a visible defect for the life of the hall.

  1. Roof panels: in scope. Top and underside where they can be reached.
  2. Frames, posts and headers: in scope. Cleaned deliberately into the corners and seams, which is where dust actually collects, rather than incidentally.
  3. Aisle doors and panels: in scope, both faces and the edges. Acrylic, PETG and polycarbonate take Brillianize; aluminum framing and powder-coated steel take ACL Staticide 6001. In both cases the product goes onto the cloth, never sprayed onto the panel above live equipment. Technicians do not lean body weight against containment panels.
  4. Handles, locks and thresholds: in scope. Doors get both sides, plus edges and handles.
  5. Door tracks: in scope. Vacuumed first, then cleaned.
  6. Strip curtains: in scope where present. Plastic-safe cleaners only.
  7. Cabinet rows either side: exterior surfaces only, quoted under rack exterior cleaning.

How it is done

  • Work starts at the top of the containment structure and moves down.
  • Our crews do not lean body weight against containment panels. A cracked panel costs you far more than a slower clean.
  • Liquids are never sprayed onto panels above active equipment. The solution goes on the cloth.
  • Above ladder reach we use an ESD-safe dust mop on an extension pole, moved slowly so the pass does not shake dust back into the air, working top-down in straight passes.
  • Corners, edges and seams are cleaned deliberately, not incidentally. That is where the dust actually collects.
  • Containment doors get both sides, plus edges and handles.

Acceptance criteria

  • Panels are free of visible dust and fingerprints.
  • No streaks or smears remain on acrylic or plastic surfaces.
  • Metal frames are clean, with no dust in corners or seams.
  • No scratches, damage or chemical marks on any containment material.

Server and network rack exterior cleaning

The outside of the cabinet, and nothing else. If a vendor offers to clean inside your racks, stop the conversation there.

  6. Heavy debris at the rack base: in scope. HEPA vacuumed with a soft-bristle brush attachment, gently, around the base area only.

How it is done

  • Acrylic or plastic rack windows and doors take Brillianize on the cloth. Painted metal takes ACL Staticide 6001 on the cloth. Light dust and sensitive areas take clean water.
  • Surfaces are wiped in smooth overlapping strokes in one consistent direction.
  • Vacuuming at the rack base is gentle, around the base area only.
  • Every rack gets checked with an LED flashlight at a shallow angle before the crew moves on.

Acceptance criteria

  • No visible dust on the top, sides, front or edges of racks.
  • No fingerprints, streaks or smudges on acrylic or metal surfaces.
  • No liquid has entered a rack or touched a vent.
  • No equipment or cabling has been disturbed.

Related surfaces get the same treatment. PDU cabinet exteriors, and wall-mounted fire alarm, security and monitoring enclosures: external surfaces only. Fan walls and cooling units: outer surfaces only, with no cleaner on vents or intakes. Floor grommets: top surface only. Conduit: wipe-down only.

Recurring data hall cleaning contracts

A rotational program across a campus or a multi-hall site. One hall at a time, cable tray down to floor, repeating on a set cycle until the contract term ends. This is how you buy the surface scopes above across a year instead of as one-off events.

How a rotation is built

  • Each hall gets a full top-to-bottom clean (cable tray, containment, walls, then floors) before the crew moves to the next one.
  • The rotation repeats for the contract duration.
  • Supervisor inspection and your sign-off happen on every visit, not once a month.

How the work is done, and how it is checked

The objection that decides this purchase is not price. It is whether it is safe to let a cleaning crew into a live hall. This section is our answer, and it is the same answer we give in a bid. The four controls that run across every scope are under dust removal. What follows here is the product selection, the safety position, and what actually happens on a visit.

Safety and ESD

  • We work to your site’s own MOP and SOP alongside our ESD controls.
  • We respect NFPA 70E approach boundaries.
  • Our crews are trained against a documented data center safety program. It covers hazard identification, PPE selection and inspection, ladder safety and working at height, chemical hazards and spill response under OSHA HazCom and GHS, raised floor and overhead busway safety, and ESD precautions.

What happens on a visit

  1. Area check and set-up

    We confirm the work zone is clear and safe, that nobody is working beneath an overhead area, and that signage and barriers are up. Tools and materials are gathered before the work starts, not fetched mid-task.

  2. Top-down clean, scope by scope

    Overhead first, then containment, then walls, then floors. Any other order means cleaning the floor twice.

  3. Inspection with a raking light

    Each section gets checked with a flashlight at a shallow angle before anyone calls it finished, and re-wiped where dust still shows.

  4. Supervisor check and sign-off

    A supervisor checks the work against the acceptance criteria for that scope. You sign off on every visit. If your site bans photography, our records are checklists and sign-off sheets.

Send us the scope and the date

Hall count, surfaces in scope, what phase the building is in, your access constraints, your change window, and the date you need racks in the room. That is enough to price against, and enough to tell you straight whether the date is reachable.
